How to Create a Booking Link Where Attendees Can Choose Their Host

Want to let your invitees pick which team member they'd like to meet with? This guide shows you how to create a booking page where attendees first select their preferred host, then schedule a meeting with them directly.

Prerequisites



Before starting, you'll need to:

Set up a round-robin meeting type
Add and configure your team members as hosts

If you haven't done this yet, follow this guide first.

Creating the Host Selection Process



Navigate to Automation → Routing Forms or click here .
Click "Create New Routing Form"
In the funnel settings, click "Create New Funnel Slide"
Choose "Image" as the slide type for a visual selection
Add each team member as an option and upload their photos
Save your slide when finished
Enable "Show Funnel Only" in the settings to create a streamlined experience

Setting Up Routing Rules



Go to the Routing Rules tab
Click "Add Condition"
Select "Custom Field"
Choose your host selection slide
Select the specific host as the value
Set "Next Step" to "Schedule Meeting"
Choose your meeting type
Select the individual host instead of Round Robin
Repeat these steps for each team member

Your booking link is now ready to share! When attendees click it, they'll first see photos of your team members, choose their preferred host, and then be taken directly to that person's availability.

Common Questions



Can I customize how the hosts are displayed?


Yes! You can use text-only options or add photos to help attendees recognize team members. You can also add short bios or titles under each host's name.

What if I need to add or remove a host later?


Simply return to the routing form, add the new host as an option in your selection slide, and create a corresponding routing rule. For removing hosts, delete their option from the slide and remove their routing rule.

Can I set different meeting durations for different hosts?


Absolutely! Create separate meeting types for hosts with different durations, then select the appropriate meeting type when setting up each host's routing rule.
