Booking Resources
Resources help you manage bookable items like rooms, equipment, or any other shared facilities. Whether you're scheduling conference rooms or managing rental equipment, resources make it easy to track availability and prevent double bookings.
A resource is similar to a user account but represents a bookable item rather than a person. Unlike regular users, resources don't need to log in or have an email address (though you can add one to receive booking notifications).
Meeting rooms and event spaces
Vehicles and company cars
Equipment (cameras, projectors, tools)
Sport facilities (tennis courts, gym equipment)
Service stations or workbenches
Treatment rooms or therapy spaces
Go to the Users section
Click "New resource"
Enter a name for your resource
(Optional) Add a profile picture to make the resource easily recognizable
(Optional) Add an email address if you want booking notifications
Click create
Resources work just like regular users - you can set their availability, assign them to groups, and create Meeting Types specifically for them.
Resources automatically handle double-booking prevention, just like with regular users. You can view all bookings for a resource in the calendar view and manage them from there.
If needed, you can transfer a resource's Meeting Types and bookings to a regular user account. This is helpful when transitioning from resource-based to staff-based bookings.
To manage any aspect of a resource (Meeting Types, availability, bookings, etc.), visit the respective page and use the user filter:
Go to the page you want to manage (Meeting Types, Availability, Bookings, etc.)
Look for the user filter at the top of the page
Select your resource from the dropdown list
The page will update to show that resource's settings
For example:
To set up Meeting Types for a resource: Go to Meeting Types page → Change user filter to your resource → Create or edit Meeting Types
To manage resource availability: Go to Availability page → Change user filter to your resource → Edit availability
To view resource bookings: Go to Bookings page → Change user filter to your resource → View or manage bookings
This works the same way across all pages in meetergo - simply change the user filter to manage that specific resource's settings.
Give resources clear, descriptive names (e.g., "Conference Room A" rather than just "Room")
Add profile pictures to help users quickly identify resources
Set accurate availability times to reflect when resources can actually be used
Use groups to organize similar resources together
No, email is optional. Add one only if you want to receive booking notifications for this resource.
Yes, you can transfer the resource's Meeting Types and bookings to a user account.
Resources count toward your total seat count. Check your subscription details for the number of available seats.
