How to Block Time Off for Appointments, Holidays, or Unavailability

When you need to take time off for appointments, holidays, or any other reason, it's important to block that time in meetergo to prevent unwanted bookings. This article explains two simple methods to ensure your unavailable times are accurately reflected in your scheduling system, so you can maintain complete control over when clients can book with you.

Trying to block a custom time span? Use availability rules.

Creating a Busy Event in Your Connected Calendar

The first option is to create an event in your connected calendar such as Google Calendar or Outlook. This method works well for recurring blocks or when you prefer to manage all your time commitments in one place.

  1. Open your preferred calendar app (e.g., Google Calendar, Outlook)
  2. Create a new event for the time you'll be unavailable
  3. Set the event status to "Busy"
  4. Save the event

meetergo automatically syncs with your calendar and will immediately block that time slot from being booked. This seamless integration means you never have to worry about double-entry or missed blocks.

Creating an Availability Exception in meetergo

You can also create an availability exception directly in meetergo to block a specific time frame. This method is ideal for one-off blocks like doctor's appointments, personal meetings, or short holidays.

  1. Log into your account and go to your Availability
  2. Select the availability schedule you wish to modify
  3. In the "Your availability exceptions" calendar, click on the date that you want to add an exception for
  4. Choose the date and time range you want to block
  5. Click "Add exception"

How to edit holidays within meetergo

Customize your holiday settings

You can edit the list of holidays you observe to match your personal or cultural needs. These settings apply to all your Meeting Types. meetergo supports holiday settings in several countries. You can view the full list below.

List of supported countries for holidays:

  • Germany
  • Belgium
  • Denmark
  • Netherlands
  • Estonia
  • Finland
  • France
  • Italy
  • Spain
  • Sweden
  • Switzerland

If you want to be available for one Meeting Type on a holiday, but not others:

  1. Go to the Availability page.
  2. Turn off the holiday block for that day.
  3. Add Date-specific hours of unavailability to any Meeting Types you want to keep unavailable.

Note: You must turn off a holiday block before adding availability for that day. Date-specific hours cannot override an active holiday.

Manage your holiday settings

  1. Open the Availability page
  2. Click "Block Holidays"
  3. Confirm your year, country, and state setting
  4. Go to "List View" to delete unwanted Blocked date

Once you've created an availability exception, meetergo will block your availability for that specific time period. You'll see the blocked days clearly marked in red on your calendar, giving you instant visual confirmation that the time is protected.

Both methods ensure your schedule stays organized and prevents any scheduling conflicts. By keeping your availability up-to-date using either approach, you maintain professional control over your time while providing clients with accurate booking options.

FAQ

Which method should I use to block time off?

Use your connected calendar for recurring events (like weekly meetings or regular time off) and for times when you want everything in one place. Use meetergo's availability exceptions for one-time blocks or when you want to manage availability directly in your scheduling system.

How quickly do calendar blocks sync with meetergo?

Calendar synchronization typically happens within a few minutes, but it can occasionally take up to 15 minutes. For urgent blocks, consider using availability exceptions in meetergo for immediate effect.

Can I block partial days or just specific hours?

Absolutely. Both methods allow you to block specific time ranges rather than entire days. You have complete flexibility to block just the hours you need, whether it's a 30-minute appointment or a week-long vacation.

What happens if someone tries to book during blocked time?

The blocked time simply won't appear as available to your clients. They'll only see open time slots that you haven't blocked, ensuring no conflicts can occur.
