Welcome to meetergo!

In this article, you'll learn how to set up meetergo in just 5 minutes!

Step 1: Set up your profile

Before we start scheduling appointments with people, let's customize our profile so they can better understand who we are.

After creating your account, go to the profile settings.

Here we can customize our full name, profile picture, description, phone number, and job title.

meetergo Profile Settings

The profile picture will be displayed on the booking page. Use a picture where you are clearly recognizable. You can also use the same picture as on social media for recognition.

The description will be displayed on your business card. Introduce yourself and your services in 2-3 sentences.

Step 2: Connect your calendar

Still on the profile page, we connect our personal calendar. This is important so that we can only be booked for times when we are actually available.

When you connect your calendar, the following happens:

meetergo checks your calendar to see when you are already busy (Availability Check)
meetergo syncs new appointments with your calendar when you get booked (Two-Way Sync)

🔒 We do not store any personal information from your calendar and only access it to display your availability times.

Connect a Calendar

meetergo supports all common calendars. Both modern, cloud-based (☁️) calendars and more complex on-premise solutions (📌) are supported. Go to your profile settings to connect a calendar on the right side.

Office 365/Outlook Calendar ☁️
Exchange/Outlook Calendar 📌
Google Calendar ☁️
Apple iCloud Calendar ☁️
Nextcloud ☁️
Any CalDAV-compatible Calendar 📌

Calendar Connections

Don't have a calendar? No problem! You can also configure your availability directly. Appointments booked through meetergo will still block your availability. You will never be double-booked again!

Step 3: Connect a meeting provider

Next, let's connect our video conferencing platform. Go to the App Overview.

Microsoft Teams ☁️
On-Prem Exchange/Microsoft Teams (hybrid) ☁️
Webex ☁️
Zoom ☁️
Telekom/Zoom X ☁️
Google Meet ☁️
meetergo connect 📌

Find the provider you want to use and click "Connect Now." Follow the instructions by logging in through the provider's site and granting necessary permissions.

Don't want to use a separate meeting provider? No problem! Depending on the plan, we offer our own video platform, meetergo connect. This is based on P2P connections and is therefore compliant with data protection!

In the next step, we will see how the conference tool can be used for a meeting type.

Step 4: Set up a meeting type

Meeting types are events you regularly schedule. Meeting types bundle settings like event duration, description, and reminders or follow-ups in one place, saving you time when scheduling!

Go to the Meeting Types Overview. We have already preconfigured a meeting type for you. Click the meeting type to edit it.

In the meeting type settings, you first see the "Setup" tab with the main settings like title, description, duration, and location.

Title: The title of your meeting type on the booking page. Choose an interesting title that sparks interest.
Description: The description is displayed under the title on the booking page.
Duration: Set how long the event should last. By clicking "Flexible Length," you can select multiple durations, allowing the booker to choose a duration.
Location: Set where you want to hold the event. Select an online meeting provider you connected in the previous step.

Changes are saved automatically. Click "Preview" to see how a setting affects your booking page immediately.

Useful Tips 🧩

Go to the "When?" tab to adjust useful settings regarding booking limits.

Do you only want X number of bookings per day/week/month? You can limit your booking frequency under the "Limits" tab.
Prevent short-notice bookings by adjusting the "Earliest Booking" setting.
Use the "Time Slot Interval" to adjust which time slots (starting from the first available slot) are shown.

Step 5: Set working hours

Next, we make sure our working hours are set correctly so we are only booked when we are actually available.

We have already connected our calendar in the previous step. meetergo will not offer time slots that are already occupied in your calendar.

Now let's create an availability rule in meetergo to further restrict our availability.

Set Basic Availability

First, go to the Availability Settings.

Here we can create multiple availability rules and link them to different meeting types.

To start, let's edit our default availability rules, which apply automatically to all our meeting types.

Click on the availability rule.

On the left side, under "Your Availability," you can set when you are available each day. Your booking page will only show time slots within the specified times.

Set Availability in meetergo

By default, availability is set from Monday to Friday between 8 AM and 5 PM.

For example, if you work from Tuesday to Saturday, you can deactivate the toggle button next to Monday and activate it next to Saturday.

Break Times

meetergo allows you to manage your availability flexibly. You have two easy ways to manage your break times.

Adjust your Availability in meetergo

You can further split your availability in meetergo so that you are not available during break times, regardless of whether your calendar is free. Click the "+" sign next to one of your available days. You can now create a slot from 8 AM to 12 PM and another from 1 PM to 6 PM.

Availability

Then, by clicking the "Copy" icon (next to +), you can apply this rule to the remaining days.

Create Recurring Appointments in your Calendar to Block Availability

If you are on a break from 12 PM to 1 PM and don't want to be booked, you can create a recurring appointment in your calendar that takes place from 12 PM to 1 PM on weekdays. meetergo will recognize the appointment in your calendar, and you will not be available from 12 PM to 1 PM.

Step 6: Test your booking page

You've made it! Now you can experience how easy it is to get booked with meetergo.

Go back to your Meeting Types Overview through the menu.

We have already configured our meeting types and availability, and connected calendars and meeting providers. Now click "Preview" next to your meeting type.

Your booking page opens in a new tab. In the URL bar of your browser, you will see your booking link, which you will share with others in the future.

Now click "Troubleshoot." This button is only visible to you as the owner of your booking page. The troubleshooting mode helps you understand why certain time slots are not available. Make sure your availability is displayed as expected.

meetergo Availability Overview

Click "Troubleshoot" again to switch back to normal booking mode.

Now create a booking by selecting a time slot, entering your own email address, and submitting the booking. Don't worry, we will cancel the appointment right away. No notifications will be sent to customers.

After submitting the booking, you will see the appointment in your dashboard or in the Booking Overview.

Click "Cancel" to cancel the booking with yourself. When you return to your booking page, you will see that the slot is now available again.

Your booking page is ready! Now you should share the link with your leads, customers, or prospects.

Share your booking link directly with others by sending the link.
Embed the booking widget on your website and send a link from your own domain.
