Run a webinar with meetergo Connect

Turn a Connect room into a webinar: roles, view-only attendees, moderated Q&A, registration and an attendance report.

A webinar is a Connect room where the audience watches by default. Only the people you put on stage can turn on a microphone or camera, questions go through moderation, and afterwards you get a report of who registered and who actually showed up.

Your ordinary Connect meetings are unaffected. A room only becomes a webinar when you switch it, and you can switch it back.

Turn a room into a webinar

  1. Go to Video calls.
  2. Find the meeting you want to run as a webinar.
  3. Click Webinar.
  4. Turn on Run as webinar.

The room keeps its existing link, so anything you already sent out still works.

Organizers are the people who own the meeting. Everyone else is an attendee until you promote them.

Put someone on stage during the webinar

  1. Open Participants.
  2. Hover the person you want.
  3. Click the up arrow.

They can turn on their microphone and camera straight away. They do not need to reload, and they do not get your moderation controls.

Click the down arrow to move them back to watching. Their microphone and camera are switched off immediately.

Decide what attendees can do

Open Webinar in the call, or the webinar page in the dashboard. You can change these while the webinar is running, and the change applies to everyone already in the room:

  • Unmute themselves
  • Turn on their camera
  • Share their screen
  • Use chat
  • Raise their hand
  • See the participant list

All of them are off by default except chat and hand raising.

Moderated Q&A

Attendees submit questions in the Q&A panel. By default a host approves each one before the room sees it.

As a host you can:

  • Approve or reject a question
  • Answer it in writing, or mark it answered after you covered it live
  • Pin a question so it sorts to the top
  • Remove abusive content

Attendees see approved and answered questions, plus their own submissions, so they can tell their question is queued rather than lost. They can withdraw their own question until it has been answered, and upvote others if you allow it.

Questions can be asked anonymously. When they are, no name is stored at all.

Registration

By default a webinar is for registered attendees only. Registration is an ordinary meetergo booking, so your existing booking questions, confirmation emails and reminders all work as they already do.

Each registrant gets their own personal link. That link is what lets them in.

  • If someone cancels, their link stops working.
  • If the webinar is full, further arrivals wait and are let in automatically as places free up.

You can switch a webinar to Anyone with the link if you would rather not require registration. The attendee limit still applies.

Recording and streaming

Recording works exactly as it does in a normal Connect call, and the recording appears under Recordings afterwards with the same access rules as your other recordings. Recordings are never public by default.

You can also stream a webinar to an external platform such as YouTube Live using the server URL and stream key from that platform. Your stream key is stored write-only: we never show it again and never include it in any error message.

The attendance report

Open the webinar page in the dashboard after the webinar. You get one row per registration plus anyone who joined through a public link:

  • Whether they joined or were absent
  • Their first join and last leave
  • Total time attended, added up across reconnects
  • The role they held
  • When they registered

Someone who watched twenty minutes, dropped out, and came back for another twenty is shown as forty minutes, not as an hour. Somebody watching on a laptop and a phone at the same time is counted once.

Use Export CSV for the same data as a spreadsheet.

Limits

A single webinar holds up to 500 attendees. You can set a lower limit per webinar if you want to cap it. People on stage do not count towards the limit.
