Sync invoices with Lexware Office
Export issued invoices and PDFs to Lexware Office and receive confirmed payment status.
Connect Lexware Office under Integrations using your public API key. In the same connection window, turn on Sync invoices. Only company admins can change this setting. It starts off, including for existing connections.
Newly finalized invoices, credit notes and cancellations are queued automatically. meetergo exports the buyer, your existing document number, grouped tax totals and the original PDF. Lexware receives an accounting voucher, so it does not issue another invoice number.
Existing invoices and sync status
Use Sync existing invoices in the connection window to queue up to 100 previously issued documents or retryable failures per click. Each click continues to the next page. Unsupported documents and documents over the export limit require an explicit retry. Open an invoice in meetergo to see Pending, Synced or Failed, with a reason and a link to the Lexware voucher when available.
Temporary failures retry automatically, up to eight attempts. If a request's outcome is uncertain, meetergo looks for the existing voucher before continuing. It never blindly creates another voucher. Check that both the invoice and contact are absent in Lexware, then use I checked Lexware, create again on the failed invoice. This permits a new creation attempt, so only use it after checking for duplicates.
Zero-total documents show Nothing to export and are skipped.
The current limit is 10,000 exported documents per company. Automatic export supports domestic German EUR documents with standard VAT rates and small-business exemptions under §19 UStG. New invoices preserve the tax treatment from their issue date. Older invoices may require review if the setting has since changed. Foreign currencies, cross-border tax treatments, other exemptions and self-billing require manual export.
Payment status
Lexware payment events wake a background check. meetergo reads payment items directly from Lexware and checks that the voucher still matches your invoice. Only actual money receipts are recorded, using their posting dates. Existing manual and Stripe payments count toward the Lexware total, so the same money is not imported twice. Unexplained differences require review. Cash receipts remain cash, bank receipts remain bank transfers, and private deposits use Other. Discounts, write-offs, offsets and other differences show Needs review in meetergo. The normal payment notification and activity history apply.
If an imported payment changes or disappears in Lexware, meetergo shows Changed in Lexware. It never removes a payment automatically. A company admin can remove the imported payment in meetergo to reopen the invoice; that receipt will not be imported again. After checking a difference, use Mark as reviewed to acknowledge the current Lexware state without changing payments. A later change can require review again. Background checks stop 14 days after full payment and run daily for open invoices older than 30 days. Webhooks still trigger checks for these invoices.
Stop syncing
Turn off Sync invoices to stop exports and payment updates. This immediately revokes the local callback and attempts to remove the payment event subscription. Disconnect additionally removes the saved API key. Previously exported vouchers and contact mappings remain when reconnecting the same organization. Changing its API key keeps sync enabled. Connecting another organization turns invoice sync off, archives the old invoice and contact mappings. Reconnecting a previous organization restores its mappings and does not export its existing vouchers again. You can then enable sync for the new organization. Only one meetergo company can enable invoice sync for a Lexware organization at a time. After enabling again, use Sync existing invoices for documents issued while sync was off.
Quotes, products and two-way contact sync are not included. DATEV export remains available.
