Email sequences

Send a series of emails automatically after a contact gets a tag, and stop it when they reply or book.

A sequence sends several emails one after another, each after its own wait. Typical uses are a follow-up series for new inquiries, a welcome series or onboarding. Sequences live in the Newsletter app under Sequences and send from your own connected mailbox.

Create a sequence

  1. Open Newsletter → Sequences and click New sequence.
  2. Under When does a contact enter? pick a trigger:
    • When a contact gets a tag. Every contact that gets the tag enters, whether by form, import, booking, from the inbox or by hand. Contacts who already carry the tag enter as soon as the sequence is active.
    • Only by hand. You pick the contacts with Enroll contacts.
  3. Under Send from, pick the mailbox the emails come from.
  4. Under Who may receive it, pick the recipient rule (see below).
  5. Add the emails under Steps. Each step has a Wait in minutes, hours or days: the first after the contact entered, every further one after the previous step.
  6. Click Activate. Until then the sequence is a draft and sends nothing.

Who may receive it

  • Only contacts who opted in. Only contacts whose latest choice for marketing mail is yes.
  • Everyone who has not opted out. Skips only contacts who declined or unsubscribed.

Pick the rule that matches your legal basis. Contacts you create yourself, for example from an email in the inbox, have no recorded opt-in. With Only contacts who opted in, they are skipped. For follow-ups on inquiries a customer sent you, Everyone who has not opted out is usually the right choice. You are responsible for having permission to email your contacts.

When a sequence stops for a contact

A contact leaves the sequence when:

  • they unsubscribe, or their address bounces or is on your do-not-mail list,
  • they reply, if Stop after a reply is on. The mailbox the replies arrive in must be connected,
  • they book a meeting with you, if Stop after a booking is on,
  • you click Stop next to them under Enrollments,
  • the last step was sent.

Under Enrollments you see who is in the sequence, how many steps they got, when the next email goes out and why someone stopped.

Start a sequence from the inbox

Give a tag to a new contact straight from an email, and the sequence starts by itself:

  1. Create a sequence with When a contact gets a tag, for example the tag "New inquiry".
  2. In the inbox, open an email from a new sender and click Create contact.
  3. Add the tag and click Save and link.

The contact enters the sequence within a few minutes. See Answer support email in the inbox.

Pause, archive or delete

  • Pause holds all sending. Contacts stay where they are and continue when you activate the sequence again.
  • Archive ends the sequence for everyone still in it. The history stays.
  • Delete removes the sequence and its steps for good.
