Manage customer users and billable seats

Invite, cancel, or remove customer users and understand the Partner month-end seat rules.

Updated on August 28, 2026

Approved Partner admins manage users for each customer from Partner portal > Customers > Manage users. The same view shows whether access is pending or active and whether the membership is a licensed seat.

Invite users securely

The first customer admin is created with the workspace. Enter their name and business email. meetergo stores a secure invitation and attempts to send it. The customer chooses their own password from the invitation.

To add more users:

  1. Open Manage users for the customer.
  2. Enter one or more business email addresses, separated by commas, semicolons, or new lines.
  3. Select Invite users.
  4. Review the result and the current user list.

Additional email invitations create Standard users. Resources are bookable rooms, equipment, or similar items and are created inside the customer workspace.

Never create a shared login or set a password for a customer.

Pending invitations and delivery failures

Use the user list to decide what exists:

  • Invitation pending means the user and invitation are stored. This remains true when email delivery failed.
  • Enter the same pending email again and select Invite users to refresh the invitation and retry delivery.
  • An address listed as unable to be invited did not create a user or invitation. Correct and retry only that address.

A pending provisioned seat can count before the person signs in.

What counts in Partner billing

Only memberships in Partner pays meetergo customer workspaces can enter the current Partner estimate and monthly statements.

User type or conditionBillable Partner seat?
Standard userYes
Customer admin or owner whose type is StandardYes
Bookable ResourceYes
Pending Standard userYes
ViewerNo
Partner accessNo
API platform userNo
Standard user or Resource on an exact configured test email domainNo. It remains visible in the statement with a zero charge.
Any user in a Customer pays meetergo workspaceNo

Test-domain matching is exact. For example, configuring example.com does not exclude team.example.com unless that domain is configured too.

Each billable seat uses its customer's Light, Suite, or Premium plan. The statement applies the current public monthly recurring price and the discount for the effective Partner level to each plan line.

Cancel a pending invitation

  1. Open Manage users.
  2. Find the pending user.
  3. Select Cancel invitation and confirm.

The pending user and invitation are removed. The seat leaves the current estimate. You may invite the address again later. A statement already frozen for an earlier month does not change.

Remove an active user

  1. Open Manage users.
  2. Find an eligible active user.
  3. Select Remove user and confirm.

The user loses customer workspace access and stops counting in the current estimate. The action is blocked when:

  • the target is the workspace owner
  • the row is an admin or Partner access that the Partner portal does not allow you to remove
  • your Partner access does not include permission to remove users
  • an active user still owns meeting types, forms, reminders, availability, or routing resources

Transfer or remove owned resources inside the customer workspace first. For an owner, admin, or Partner-access change, use the customer workspace controls when available or contact meetergo support.

Removing or cancelling a user never rewrites a frozen monthly statement and does not create a prorated credit in the Partner ledger.
