Rates and budgets

Billing models, hourly rates and the service on an entry, hour or money budgets with alerts at 80 and 100 percent, and project costs.

Updated on October 30, 2026

Each project has a billing model and an optional budget. You set both in the project's Settings, from the gear at the top right.

Billing models

  • By the hour: you bill the recorded hours.
  • Fixed price: an agreed amount, optionally split into partial invoices on milestones.
  • Monthly retainer: a fixed amount each month.
  • Hour quota: a number of hours per month. Hours above the quota can be billed.
  • Internal, not billed: for internal work.

Rates

The most specific rate wins: project, then service, then person, then the default rate. Without any rate, the price of the service applies. A service is a product in Invoicing.

  • Settings → Hourly rates holds the company's Default rate and rates for people or services. These apply to projects billed in EUR.
  • Hourly rates under the project's Budget → Billing holds rates for the Whole project, or for one service or person on it. These win over the rates in settings.

Rates are part of the Suite plan. Services and their rates also come along when you import from Clockodo. Time without a rate is billed at 0. You can change the price in the invoice draft before you send it.

Who sees rates and revenue is a company setting: admins, admins and team leads, or everyone. Hours stay visible for all.

The service on a time entry

When you add or edit time on a project, pick its Service. If you may see revenue, the field shows the hourly rate, where it comes from, for example "personal rate", and what billing would charge. If there is no rate, Set a rate takes you to where you add one.

Budgets

Pick Hours or Amount under Budget. Amounts need access to revenue.

The budget bar shows how much is used and a forecast. The status reads On track, Nearly used, Forecast over or Over budget. The person responsible for the project gets a notice at 80 % and at 100 %.

Costs

Under Budget → Budget, add costs such as image licences with a description and an amount.

A supplier invoice from Invoicing → Bills & receipts can go on a project too:

  1. Open the reviewed document and save its amount.
  2. Under Project, choose the project and click Assign.

The net amount, or the gross amount when there is no net amount, lands in the project's costs and counts toward the budget. Remove takes it off again. If Mira already matched the document to a project, you see that project with Undo, or a suggestion to confirm.
