Sending Quick Messages to Attendees

Learn how to send quick messages to your meeting attendees directly from the booking details

Need to quickly reach out to an attendee about an upcoming meeting? Whether they didn't show up, you want to send a reminder, or you'd like to request a review, meetergo makes it easy to send personalized messages directly from your booking details.

How to Send a Quick Message

  1. Go to Your Bookings overview
  2. Click on the booking you want to message
  3. In the info drawer that opens, find the attendee section
  4. Click the Send Message button

The quick message modal will open, allowing you to compose and send your message.

Message Templates

To save you time, meetergo provides several pre-built message templates:

  • No Show - For attendees who didn't attend their scheduled meeting
  • Meeting in x hours - A reminder for meetings happening soon
  • Meeting in x days - A reminder for meetings happening in a few days
  • Meeting tomorrow - A reminder for next-day meetings
  • Meeting tomorrow quiz - An interactive reminder that confirms attendance

You can also use your own custom email templates if you've created them in your company settings.

Customizing Your Message

Each message can be fully customized before sending:

  1. Select a template - Choose from the available templates or start fresh
  2. Choose a language - Select from English, German (formal or informal), French, or Spanish
  3. Edit the title - Customize the email subject line
  4. Edit the content - Modify the message body to add personal touches

Common Use Cases

Following Up on No-Shows

When an attendee doesn't show up:

  1. Open the booking details
  2. Click Send Message
  3. Select the No Show template
  4. Optionally customize the message
  5. Click Send

This helps you reconnect with attendees who missed their meeting and offers them a chance to reschedule.

Sending Meeting Reminders

To send an extra reminder before an important meeting:

  1. Open the upcoming booking
  2. Click Send Message
  3. Choose one of the reminder templates (hours or days before)
  4. Add any specific details about the meeting
  5. Click Send

Requesting Reviews

After a successful meeting, you can request feedback:

  1. Open a past booking
  2. Click Send Message
  3. Create a custom message requesting a review
  4. Include a link to your review page if applicable
  5. Click Send

Language Support

The quick message feature supports multiple languages to match your attendees' preferences:

  • English
  • German (formal "Sie")
  • German (informal "du")
  • French
  • Spanish

The system will automatically suggest the language based on the attendee's language preference when they booked.

Rate Limits

To prevent spam, there's a rate limit on how many messages you can send in a short period. If you hit the limit, wait a few minutes before sending another message.

FAQ

Can I send messages to multiple attendees at once?

Currently, quick messages are sent to individual attendees. For bulk communications, consider using our workflow feature to automate messages based on triggers.

Will the message come from my email address?

Messages are sent from your configured sender address. You can customize this in your account settings under Email Settings.

Can I use my own email templates?

Yes! Any custom email templates you create in your company settings will appear in the template dropdown, making it easy to maintain consistent messaging.

Is there a character limit for messages?

There's no strict character limit, but we recommend keeping messages concise and to the point for better engagement.

Can I track if the attendee opened my message?

Email open tracking depends on your email configuration. Standard meetergo emails don't include open tracking to respect privacy.
