Minimum Notice Settings

Set how much advance notice is required before someone can book a meeting with you

Updated on December 15, 2025

Minimum notice prevents last-minute bookings by requiring a certain amount of lead time before appointments. If you need time to prepare or simply don't want surprise meetings, this setting ensures attendees book far enough in advance.

What Is Minimum Notice?

Minimum notice is the shortest amount of time before a meeting can be booked. For example:

  • 30-minute minimum: Someone can't book a slot starting in 15 minutes
  • 24-hour minimum: Attendees must book at least a day ahead
  • 1-week minimum: Only slots 7+ days out are available

Configure Minimum Notice

  1. Go to Meeting Types
  2. Edit your meeting type
  3. Find Scheduling or Availability settings
  4. Locate Minimum Notice or Booking Lead Time
  5. Set the time in minutes, hours, or days
  6. Save changes

Default Setting

The default minimum notice is 30 minutes. This prevents bookings for slots that are about to start.

How It Works

Example: 2-Hour Minimum Notice

If it's currently 10:00 AM:

  • ❌ 10:30 AM slot - Not available (only 30 min away)
  • ❌ 11:00 AM slot - Not available (only 1 hour away)
  • ✅ 12:00 PM slot - Available (2+ hours away)
  • ✅ All afternoon slots - Available

Interaction with Availability

Minimum notice works alongside your availability:

  1. First, your availability determines possible slots
  2. Then, minimum notice removes slots that are too soon
  3. Remaining slots are shown to attendees

Common Settings

Use CaseRecommended Minimum
Quick calls, flexible schedule30 minutes - 1 hour
Standard meetings2-4 hours
Meetings requiring preparation24 hours
Important consultations2-3 days
Complex sessions with prep work1 week

Use Cases

Sales Calls

Set 1-2 hour minimum to:

  • Review the prospect's information
  • Prepare talking points
  • Research their company

Consultations

Set 24-48 hour minimum to:

  • Review any submitted documents
  • Prepare recommendations
  • Block preparation time

Interviews

  • Review resumes/portfolios
  • Coordinate with other interviewers
  • Prepare interview questions

Casual Catch-Ups

Set 30 minutes to allow:

  • Spontaneous scheduling
  • Last-minute availability
  • Flexible coordination

Combining with Buffer Times

Minimum notice and buffer times work together:

  • Minimum notice: Controls how far ahead bookings must be
  • Buffer time: Adds padding between meetings

You might use:

  • 2-hour minimum notice (advance booking requirement)
  • 15-minute buffer before (preparation time per meeting)

See Understanding Buffers.

Per-Meeting Type Settings

Each meeting type can have different minimum notice:

Meeting TypeMinimum Notice
Quick 15-min call1 hour
30-min consultation4 hours
60-min strategy session24 hours
Half-day workshop1 week

This lets you require more notice for meetings that need more preparation.

Best Practices

Match Preparation Needs

Set minimum notice based on how much prep you actually need:

  • Review attendee info: 1-2 hours
  • Research their business: 24 hours
  • Create custom materials: Several days

Consider Time Zones

For international attendees:

  • Short minimums may fall during their night
  • Longer minimums give them reasonable booking windows

Balance Flexibility and Preparation

Too short → You may be unprepared Too long → Reduces booking flexibility

Start with a moderate setting and adjust based on experience.

Communicate Expectations

In your meeting description, mention:

  • Why advance notice is needed
  • What you'll do with the prep time
  • What they should prepare

Troubleshooting

No Slots Showing

If attendees see no availability:

  1. Check if minimum notice is too long
  2. Verify availability hours exist far enough in the future
  3. Review maximum booking limit (daysIntoFuture)

Last-Minute Bookings Appearing

If people are booking too close:

  1. Verify minimum notice is saved
  2. Check it's set on the correct meeting type
  3. Ensure the value is in the right unit (minutes vs hours)
