How to Set Up Recurring Meetings

Let clients book multiple sessions at once with automatic scheduling for coaching, therapy, and regular appointments

Recurring meetings let your clients book multiple sessions at once on a regular schedule. This is perfect for coaching programs, therapy sessions, training courses, or any appointment type where clients need to meet with you regularly.

When a client books a recurring meeting, they select their first time slot and choose how many sessions they want. The system automatically schedules all subsequent sessions at the same time on the selected frequency (weekly, biweekly, or monthly).

Requirements

Recurring meetings are available on the Growth plan and above. The feature cannot be combined with:

  • Group booking (multiple attendees per slot)
  • Round-robin or co-host meetings
  • Payment-enabled meetings

Setting Up Recurring Meetings

  1. Go to Meeting Types and select the meeting type you want to configure
  2. Scroll down to find the Multi-Booking section
  3. Enable the Enable multi-booking toggle
  4. Select Recurring pattern as the booking mode
  5. Configure the frequency and limits

How It Works for Bookers

When a client visits your booking page:

  1. They see the calendar and select their preferred first time slot
  2. After selecting a time, they choose how many recurring sessions to book
  3. The system shows which dates will be booked based on the frequency
  4. All sessions are created at once with the same time on each recurring date
  5. Each session gets its own calendar invitation and reminders

Managing Recurring Appointments

All appointments in a recurring series are linked together. In your Appointments view:

  • Recurring appointments are marked with a recurring icon
  • You can view the entire series or individual appointments
  • Canceling an appointment gives you the option to cancel the entire remaining series
  • Each appointment can be rescheduled individually if needed

Example Use Cases

Coaching Program (Weekly)

  • 12-week coaching program with weekly 60-minute sessions
  • Set frequency to "Weekly" and maximum sessions to 12
  • Client books their preferred time and all 12 sessions are scheduled

Therapy Sessions (Biweekly)

  • Ongoing therapy with sessions every two weeks
  • Set frequency to "Every 2 weeks" and maximum sessions to 24
  • Covers a full year of biweekly appointments

Monthly Check-ins

  • Quarterly business reviews or monthly mentoring
  • Set frequency to "Monthly" and maximum sessions to 12
  • Client books a year of monthly meetings at once

FAQ

What happens if a recurring date falls on a holiday?

The system books based on calendar availability. If a date is blocked in your calendar or marked as unavailable, that specific occurrence won't be available and the client will be notified.

Can clients cancel individual sessions?

Yes, each session can be managed individually. When canceling, clients can choose to cancel just that session or all remaining sessions in the series.

Do all sessions have to be the same duration?

Yes, recurring sessions all use the same duration as configured in your meeting type settings.

Can I use recurring meetings with payment?

Currently, recurring meetings cannot be combined with payment collection. For paid recurring sessions, consider using bundles or booking sessions individually.
