Setting Up a Meeting Poll
Meeting polls are perfect when you need to coordinate schedules with multiple people but aren't sure which time works best for everyone. Instead of going back and forth with emails, you can offer several time options and let your invitees vote on their preferences. This article will walk you through creating, sharing, and managing meeting polls in meetergo.
Create a Meeting Poll
Choose your available times
- Navigate to the Polls in meetergo dashboard
- Click "Create"
- Configure Title, Location (optional), and Description (optional)
- Select potential dates or times for your event (Pick up to ... different time slots from the calendar that you'd like to offer.)
- Customize any additional settings as needed (Set deadline, Hide participant list, and Remove branding)
- Click "Create poll"
Configure your meeting information
Configure your time zone: Your invitees will automatically see all times converted to their local time zone
Distribute your meeting poll
meetergo creates a unique web address for your poll that you can customize. Use the "**Preview" **option to see exactly what your invitees will experience before sending it out. When everything looks good, click "Copy" and send it to everyone who needs to participate. They'll visit this link to cast their votes for their preferred meeting times.
Managing Your Meeting Poll
Monitor and modify your poll
Head to the Polls in meetergo dashboard to oversee all your active polls. From here, you can view responses, copy the poll link again, make edits, or remove polls entirely. You're free to update poll details even while voting is still happening, but once you book a final time, the poll will automatically close.
Finalize and schedule the meeting
When you're ready to lock in a meeting time and send out invitations:
- Go to Polls
- Click on your poll to see detailed voting results
- Review which times received the most votes and select your preferred time slot
- Click "Book" next to your chosen time
- A confirmation window will appear showing meeting details and the list of voters
- Click Schedule Meeting to make it official
| Need to invite additional people? Click + Add participant and enter their contact information.
Once you complete the booking process, meetergo automatically sends calendar invitations to you and all participants with complete meeting information.
FAQ
How many people can vote on a meeting poll?
There's no limit to how many people can participate in voting on your meeting poll. Simply share the poll link with everyone who should have input on the meeting time.
Can I see who voted for which times?
Yes, when you view your poll results, you'll see both the vote counts for each time slot and the names of people who voted for specific times. This transparency helps you make informed decisions about which time works best.
What happens if there's a tie in the voting?
If multiple time slots receive the same number of votes, you as the poll creator get to choose which time works best for you. The voting results are meant to guide your decision, not make it automatically.
Can I change the meeting times after people have already voted?
You can add or remove time options while the poll is still active, but keep in mind that people who already voted might need to cast new votes if their preferred times are no longer available.
