Waitlist
Automatically notify invitees when new time slots become available for a fully booked meeting type
The waitlist lets invitees sign up to be notified when new time slots open up for a meeting type that is currently fully booked. Once a slot becomes available, subscribers receive an email with a direct booking link.
How it works
- An invitee visits your booking page and sees no available slots.
- They enter their email to join the waitlist.
- meetergo checks for new availability every 30 minutes.
- When slots open up, each subscriber receives a notification email with a link to book.
- After booking (or after 30 days without booking), the entry is automatically removed.
Subscribers are notified at most once every 24 hours to avoid overwhelming their inbox.
Enabling the waitlist
- Open the meeting type you want to configure.
- Go to Additional Settings.
- Toggle Waitlist on.
The waitlist is available on the Teams plan and above.
What the invitee sees
When all time slots are booked, the booking page shows a waitlist sign-up form instead of the usual "no availability" message. The invitee enters their email address and receives a confirmation that they have been added to the waitlist.
Notification emails
When meetergo detects that new slots have become available, it sends an email to each waitlisted subscriber. The email includes:
- The name of the meeting type
- A direct link to the booking page
- An unsubscribe link to leave the waitlist
You can customize the notification email in Settings > Email Templates under the Waitlist Notification template. The following dynamic variables are available in the waitlist notification template:

Organization, team, and host variables also work in waitlist notification templates.
Automatic cleanup
- 24-hour cooldown: Subscribers are notified at most once per day, even if availability changes multiple times.
- 30-day expiry: Waitlist entries are automatically removed after 30 days if the subscriber has not booked.
- Booking removes entry: When a subscriber books via the waitlist link, their entry is automatically removed.
- Unsubscribe: Subscribers can remove themselves at any time via the unsubscribe link in the notification email.
