How to Add Custom Terms and Conditions for Specific Meeting Types
Learn how to require invitees to accept terms and conditions for specific meeting types using team branding settings.
Need invitees to agree to specific terms and conditions before booking certain meeting types? While the standard form checkbox doesn't support links, you can use team branding settings to add a custom consent text with links that appears only on selected meeting types.
The Challenge
By default, privacy policy settings in meetergo apply to all meeting types across your workspace. This creates a problem when you need:
- Specific terms for certain services or consultations
- Different consent requirements for different meeting types
- Links to external terms and conditions documents
The Solution: Use Teams
Teams in meetergo can have their own branding settings, including a custom data policy text. By creating a team and assigning your meeting type to it, you can show specific terms and conditions only for that meeting type.
Step-by-Step Setup
- Go to Teams and create a new team
- Open the team settings and navigate to the Branding tab
- Find the Data Policy section and enable the custom text option
- Enter your terms and conditions text with the link, for example:
By booking this appointment, you agree to our <a href="https://example.com/terms">Terms and Conditions</a>. - Save your team settings
- Create a new meeting type or edit an existing one
- In the meeting type settings, select this team as the assigned team
How It Works
When an invitee visits the booking page for a meeting type assigned to this team:
- The custom terms text appears above the booking button
- Your standard privacy policy settings remain unchanged for other meeting types
- Invitees must implicitly accept these terms by proceeding with the booking
Tip: You can create multiple teams with different terms for different use cases - one for sales consultations, another for legal consultations, etc.
Alternative: Company-Wide Custom Text
If you want the same custom text to appear on all booking pages (not just specific ones):
- Go to Branding
- Navigate to the Privacy tab
- Enable "Show data policy custom text"
- Enter your text with HTML links
This applies to all meeting types in your workspace.
FAQ
Can I require a checkbox that must be ticked?
The team branding approach shows text above the booking button rather than a checkbox. For a mandatory checkbox without links, use a custom form field. For terms with links, the team branding method is recommended.
Can I use HTML in the custom text?
Yes, you can use basic HTML tags like <a href="..."> for links in the team branding data policy text.
Will this affect my other meeting types?
No. Only meeting types assigned to the specific team will show the custom terms. Your other meeting types continue using your standard privacy settings.
