Learn how to give colleagues read-only access to your workspace without using a seat

Viewers let you give someone read-only access to your workspace. They can see your bookings, analytics, and settings, but they cannot change anything. Viewers are free and do not count toward your seat limit.

What Is a Viewer?

A viewer is a member of your company who logs in like anyone else but can only look. Every attempt to create, edit, or delete something is refused.

Viewers are ideal for:

  • Managers who want to follow team performance without touching the setup
  • Finance or leadership colleagues who only need reporting
  • Auditors and reviewers who need visibility for a limited time
  • Anyone you want to keep informed without giving them the ability to change things

What Viewers Can Do

  • Sign in to the dashboard
  • See bookings and appointments
  • Open analytics and reports
  • View meeting types, teams, and settings

What Viewers Cannot Do

  • Change anything: creating, editing, and deleting are all blocked
  • Be booked: viewers do not appear in host pickers, round robin queues, or team member selection, and they get no booking page
  • Connect a calendar: there is nothing to schedule, so calendar connections are not available
  • Use a seat: viewers are free and never affect your subscription

How Many Viewers You Get

The number of viewers included depends on your plan:

When you reach the limit, adding another viewer is blocked until you upgrade or remove an existing one.

Company-Wide or Specific Teams

When you invite a viewer, you choose how much they can see:

  • The whole company: all bookings, meeting types and analytics
  • Only specific teams: only the members of the teams you pick

You need at least one team before you can use team scoping. See How to set a user as a team admin for how teams work.

How to Invite a Viewer

  1. Go to the Users page
  2. Click Add member, then select Viewer
  3. Enter one or more email addresses
  4. Choose whether they see the whole company or only specific teams
  5. If you picked specific teams, select which ones
  6. Click to send the invitations

Each person receives an email with a link to accept. If they do not have a meetergo account yet, they create one during the process at no cost.

Turning a Viewer Into a Full Member

If a viewer needs to start working in the workspace, remove them and invite them again as a team member. A full member uses a seat and will affect your subscription.

Viewers and Partners

Viewers and partners both avoid using a seat, but they are opposites:

  • A partner is external and gets admin access to manage your workspace for you
  • A viewer is someone you want to keep informed and who can change nothing
