Customizing Your Email Layout

Set the header, content style, footer, fonts, and spacing for outgoing emails, hide your address in the email footer, and set per-team footer contact details.

Personalize how your emails appear to clients by customizing the email layout. This article guides you through the available options to create professional, branded emails that match your company's style.

Open email design

  1. Open Email templates next to Workflows in the sidebar.
  2. Select the Email design tab.
  3. Adjust the design and check the preview.
  4. Click Save changes.

When editing a workflow email, template or meeting-type notification, the small Shared email design link opens the designer in a new tab so your draft stays in its editor. The link is visible to admins with access to email design.

The design is shared across your company's emails. Edit each message's content in its template. You can also reach the designer under Settings → Email sending → Open the email designer.

Design mode and advanced options

Choose Branded under Design mode to edit colors and layout. Header, content, footer, font and spacing controls are under Advanced. These controls are hidden in Simple and Plain text modes.

Header Options

Select your preferred header style:

  • Logo Only: Displays your centered company logo
  • Branded Banner: Shows your company name on a colored background
  • Logo with Title: Presents your centered logo with company name below

Content Style

Choose how your email content is displayed:

  • Simple Border: Presents content with a subtle border
  • Box Style: Displays content in a box with shadow effects

Select your preferred footer style:

  • Contact Footer: Shows your company address and contact details, plus company name, copyright, and the imprint and privacy links
  • Minimal Footer: Shows only company name, copyright, and the legal links. The address and contact line are left out
  • Full Footer: Same as the contact footer, plus an information text you write yourself

The footer address comes from your company and billing details. You can hide it in the footer without deleting it there:

  1. Open the Email design tab.
  2. Choose Branded under Design mode.
  3. Expand Advanced.
  4. Set Footer to Minimal Footer.
  5. Click Save changes.

From then on your emails show only company name, copyright, and the imprint and privacy links. The address stays in your company profile and is still used for invoices.

By default, every email footer uses your company's contact details and legal links. If you run separate teams, each team can show its own address, contact details, and legal links in the footer instead, so attendees see the right entity for the meeting type they booked.

To set this up for a team:

  1. Open the team and go to its Contact tab.
  2. Uncheck Use Company Default Contact Information.
  3. Fill in the team's Email, Phone, Website, and Address.
  4. Under Privacy & Legal, add the team's Privacy Policy URL and Imprint URL.
  5. Save.

Emails sent for that team's meeting types now use these values in the footer. Any field you leave blank falls back to the company default, so you only need to override what differs.

Style Options

Font Settings

  • Font Family: Choose the typeface for your emails (Inter, Arial, etc.)
  • Font Size: Adjust text size (Small, Medium, Large)
  • Line Height: Control spacing between lines of text (Tight, Normal, Relaxed)

Spacing & Borders

  • Content Padding: Set the internal spacing within email content (Minimal, Normal, Generous)
  • Corner Radius: Adjust the roundness of corners (None, Slight, Rounded)

Alignment & Color

  • Text Alignment: Control how text is aligned (Left, Center, Right)

Saving Your Changes

After making your desired customizations, click the Save changes button to apply your changes to all outgoing emails.

FAQ

Will my existing email templates be affected?

Your existing email templates will maintain their content but will adopt the new layout style you've selected.

Can I preview changes before saving?

Yes, the preview section shows how your emails will appear with the current settings.

Can I have different layouts for different types of emails?

Currently, the layout settings apply to all email templates. You can customize the content of individual templates, but they'll share the same layout structure.

Can I revert to the old layout?

Yes. Under Layout, turn off Use the new email layout and save your changes.
