How to Insert Clickable Links in Email Templates

Learn how to properly add links with variables in workflow and communication emails

When customizing email templates in meetergo, you might notice that variables like meeting links appear as plain text instead of clickable links. This guide shows you how to properly insert links that work correctly in your emails.

The Problem

If you simply type or paste a variable like {!M.Meeting.Link} into your email template, it will appear as plain text in the sent email. Recipients won't be able to click on it directly.

To create a proper clickable link with a variable:

  1. Open your email template (in Workflows or Meeting Type Communication settings)
  2. Position your cursor where you want the link
  3. Click the Link icon in the editor toolbar (it looks like a chain link)
  4. In the link dialog that opens:
    • For the URL field, select the variable from the dropdown (e.g., Meeting Link, Reschedule Link)
    • For the Text field, enter what the link should display (e.g., "Join Meeting" or "Click here")
  5. Click Insert or Save
  6. Save your email template

Tip: You can also select existing text first, then click the link icon to turn that text into a clickable link.

Here are the most useful link variables you can use:

Example: Adding a Join Meeting Button

To create a professional "Join Meeting" link in your reminder email:

  1. Type the text you want to display, e.g., "Join Meeting"
  2. Select that text
  3. Click the Link icon
  4. Choose "Meeting Link" from the variable dropdown
  5. Save

The result will be a clickable link that automatically contains the correct meeting URL for each booking.

Troubleshooting

Link still appears as text?

  • Make sure you used the Link tool, not just typed the variable
  • Check that you saved the template after making changes

Variable not showing in dropdown?

  • Ensure you're editing a workflow or communication template (variables aren't available in all editors)
  • Try refreshing the page and editing again

Link works but shows wrong text?

  • Edit the link and update the display text field
  • You can change the text without affecting the URL variable
