How to Avoid Duplicate Emails When Using Workflows
Prevent double emails by disabling default communication when using custom workflows
If you've set up a workflow for your meeting type and are receiving duplicate emails (confirmation, reminders, or follow-ups sent twice), this is because both the default communication and your workflow are active at the same time.
Why Does This Happen?
meetergo has two systems that can send emails:
- Default Communication - Built-in emails that are enabled by default for every meeting type
- Workflows - Custom email sequences you create yourself
When both are active, each booking triggers emails from both systems, resulting in duplicates.
How to Fix It
To use only your workflow emails, disable the default communication:
- Go to your Meeting Types
- Select the meeting type connected to your workflow
- Click on the Communication tab
- Scroll down to Additional Options
- Disable the emails you don't want to send from the default system:
- Toggle off Booking confirmation
- Toggle off Reminders (if you have them in your workflow)
- Toggle off any other emails you've added to your workflow
- Make sure the Active toggle for each default email is turned off
- Save your changes
Tip: You can also keep some default emails active and only add specific emails (like follow-ups) to your workflow. Just make sure you don't have the same email type in both places.
Best Practice
When using workflows, we recommend:
- Disable all default communication for that meeting type
- Build your complete email sequence in the workflow (confirmation, reminders, follow-ups)
- Test with a booking to verify only one set of emails is sent
This gives you full control over timing, content, and styling of all your booking-related emails.
