Send birthday greetings automatically
Congratulate every contact on their birthday by WhatsApp, SMS or email.
The Contact's birthday trigger runs a workflow once a year for every contact with a saved birthday.
Set it up
- Open Workflows and create a workflow.
- Pick the template Birthday greeting via WhatsApp, or start from scratch and choose the trigger Contact's birthday.
- In the trigger, choose When (on the birthday or a few days before) and the Time. The default is 09:00 in your company time zone.
- Configure the step. For WhatsApp, pick an approved template and map its variables, for example
{{contact.firstName}}. - Switch the workflow to Active.
The trigger shows the next birthdays it will run for, so you can check the setup before you activate it.
A birthday workflow writes to your contacts on its own. It always starts paused and only runs once you activate it.
What you can add
Any contact step works: email, SMS, WhatsApp template, a task or a note on the contact, and a webhook. Use waits and conditions as in other workflows.
Who gets a message
- Each contact gets it once per year, even if the workflow is edited or saved again.
- Birthdays on February 29 are celebrated on February 28 in years without a leap day.
- Contacts without a phone number or email address for the chosen channel are skipped.
- Deleted and merged contacts are skipped.
- Contacts who declined marketing messages on that channel are skipped.
A company sends at most 500 birthday workflows per day. If more contacts have a birthday that day, the rest are skipped and the workflow steps show a warning.
Add birthdays on the contact page under Birthday, or import them with your contacts.
