Create deals from form submissions

Automatically create CRM deals in the right pipeline based on a visitor's interests.

Use a form workflow to create a deal when someone submits a form. No appointment booking or external automation is needed.

Prepare your form and pipelines

  1. Add fields for name, phone number and a required email address to your form. The submission creates or updates a contact, which the deal will reference.
  2. Add a choice field for interests, such as Training, Pelvic floor training or Lymphatic treatment. Allow multiple answers if visitors can choose several interests.
  3. Create the destination pipelines and their first stages, for example Interested.

Your workspace needs access to Forms, Workflows and CRM. The usual deal limit and required stage fields also apply.

Create the workflow

  1. Open Workflows, create a workflow and choose the Form completed trigger.
  2. Add the Create deal action.
  3. Choose a pipeline and stage. Selecting a pipeline initially selects its first stage.
  4. Optionally enter a deal title. Leave it empty to use the form name and contact name.
  5. Assign the workflow to your form and activate it after configuring all actions.

The contact is linked automatically. Choose the deal owner in the action. It initially selects the person who added the action. A completed form is sufficient; visitors do not need to book a meeting.

If the trigger adds an email action you do not need, delete that action before activating the workflow.

Pause an existing workflow before adding a new Create deal action.

Route by interest

Add a condition on the form's interest answer. For example, contains “Pelvic floor training” can lead to a Create deal action in the corresponding pipeline on the true branch.

For multiple interests, create an independent condition for each interest under the same trigger. Each matching true branch creates its own deal. Do not put the next interest only on the false branch, because that would exclude people who selected both.

Test and handle failures

Submit your published form with test contact details. Check that each selected interest produces a deal in the intended stage, linked to the contact.

A retry of the same action for the same submission does not create another deal. A new submission or a separate action can create another deal for that contact.

If an action fails, open it in the workflow editor. Check the displayed error, correct the configuration and select Retry failed deals. Common causes include a deleted pipeline or stage, a deal limit, missing required stage fields or a submission without a contact.

Disable the workflow or remove its assignment from the form to stop future deal creation. This does not remove deals already created.
