In this article, you'll learn how to set up meetergo in just 5 minutes!

Step 1: Set up your profile

Before we start scheduling appointments with people, let's customize our profile so they can better understand who we are.

After creating your account, go to the profile settings.

Here we can customize our full name, profile picture, description, phone number, and job title.

| The profile picture will be displayed on the booking page. Use a picture where you are clearly recognizable. You can also use the same picture as on social media for recognition.

| The description will be displayed on your business card. Introduce yourself and your services in 2-3 sentences.

Step 2: Connect your calendar

Still on the profile page, we connect our personal calendar. This is important so that we can only be booked for times when we are actually available.

When you connect your calendar, the following happens:

meetergo checks your calendar to see when you are already busy (Availability Check)
meetergo syncs new appointments with your calendar when you get booked (Two-Way Sync)

Double Opt In (DOI)

Double opt-in adds an email confirmation step to your booking process. When enabled, attendees must confirm their booking via email before it's finalized. This helps ensure data privacy compliance and gives attendees an explicit way to agree to the booking and any associated data processing.

How to Enable Double Opt-In

For All Meeting Types

Go to Organization Settings
Find the Double Opt-In setting
Toggle the switch to enable it for all meeting types
Don't forget to save

For Individual Meeting Types

Go to your meeting types
Select the meeting type you want to modify
Go to the Advanced tab
Enable the Double Opt-In option
Save your changes

| Host Approval: meetergo also offers a separate Host Approval setting. With this option, hosts must approve bookings before they're confirmed. You can use this instead of or alongside Double Opt-In.

When to Use Double Opt-In

Double Opt-In is particularly valuable for:

Meeting legal requirements in countries that mandate explicit marketing consent
Industries handling sensitive information that need extra verification
Organizations with specific compliance requirements
Reducing no-shows by adding an extra confirmation step

Embed appointment bookings on your website

Learn how to easily and quickly integrate meetergo as a professional booking system on your website - whether as a direct form, popup button, interactive sidebar, or video snippet to maximize conversion of your visitors into customers.

Integration Options

Embedding Displays your booking form directly on your website. Visitors can book appointments without leaving the page. You get a booking link in your own domain.
Popup Button A floating button appears on your website. When visitors click on it, a popup window with your booking form opens.
Text Popup Allows you to use any text or elements (like buttons) on your website that open the booking form as a popup when clicked.
Sidebar A collapsible sidebar containing your booking form. It can be discreetly placed at the edge of your website.
Video Embedding Displays a video snippet on your website that's always visible. Visitors can view your video and directly access the scheduling page from it without navigating away.

Meeting types

Meeting Types are appointments that you hold regularly. With Meeting Types, you bundle all settings such as duration, buffer times, or the meeting channel. Additionally, you can personalize notifications, adjust the calendar invitation, and add fields to the form.

Create a Meeting Type for each of your regular appointments and optimize your workflow! Here are commonly used Meeting Types:

Initial consultation
Advisory meeting
Product demo
Technical support
Coaching session

Meeting Type types

Through the Meeting Type overview, we can edit Meeting Types by clicking on them, or create a new one by clicking the "New" button. When creating Meeting Types, there are the following presets:

One-on-one: One host with one participant
Group: One host with a group of participants. Each time slot can be booked by multiple people.
Co-hosts: Multiple hosts with one participant. All hosts must be available for an appointment (the combined availability is displayed).
Round-Robin: Rotating hosts with one participant. Appointments are distributed in order to available hosts in the queue.

Availability

The availability settings allow you to specify when you can be booked through your booking link. This ensures that you are only booked when you actually have time. Never be booked again during a break, vacation, or outside your business hours!

How to set up your availability

In your meetergo Account, go to your Availabilities.
There you will see an overview of your availabilities. We have automatically created an availability for you. This is applied by default to your appointment types.
Click on the default availability to edit it with immediate effect.

| You can also create multiple availability rules and assign them to multiple appointment types. This allows you to easily manage your availability for different use cases. The default availability is automatically assigned to new appointment types.

On the left side, we adjust our regular working hours.

To adjust the time, click on the time and select the desired time. By clicking the "Copy" button (next to the +), you can copy the time to other days to save you some clicking 😉

Email Templates

With meetergo, you can customize every notification according to your needs. In this article, I'll show you how to customize a template and what they are specifically used for.

Customizing Templates

Go to Email Templates in the settings.
Edit an existing template by clicking "Edit" next to the template. Alternatively, create a new template by clicking the blue "New" button.
Now, you can customize the template.

The Name of the template is for your reference to distinguish your templates.

The Category is also visible only to you.

The Title is the email subject, and the Content is the email body. You can personalize emails using dynamic tags.

Standard Templates

meetergo sends a set of default notifications, each of which can be customized. Use the "Select Standard Emails" button to assign standard templates. Afterward, edit the selected templates to customize their content.

Let's look at the templates available:
