How to troubleshoot unavailable times that should be available

When your booking page shows fewer available times than expected, or when invitees report they can't find suitable booking slots, meetergo's Troubleshoot Tool reveals exactly what's blocking those time slots and provides clear solutions to resolve the conflicts.

Opening the Troubleshoot Tool

  1. Navigate to your Meeting Types
  2. Choose the Meeting Type you want to check and click “Edit
  3. Go to “When can people book?
  4. Click “View Troubleshoot” to launch the diagnostic tool

The Troubleshoot Tool analyzes your availability settings, calendar connections, and Meeting Type configurations to identify scheduling conflicts that aren't immediately obvious.

Using the diagnostic tool

  1. Select the specific date you want to investigate from the calendar picker
  2. Review each blocked time slot and its corresponding diagnostic code
  3. Note the explanations provided for why each time period is unavailable

Code

What it means

How to fix it

EVENT

Someone has already booked an appointment for this time slot.

Reschedule from your Meetings page or use Free/busy rules to allow overlapping.

GOOGLE

This time slot is blocked by an appointment in your connected Google Calendar.

Change the entry to "Free" or remove it from your connected calendar.

OUTLOOK

This time slot is blocked by an appointment in your connected Outlook Calendar.

Change the entry to "Free" or remove it from your connected calendar.

EXCHANGE

This time slot is blocked by an appointment in your Exchange server calendar.

Check your Exchange calendar for conflicts.

TEAMS

This time slot is blocked by a Microsoft Teams meeting.

Check your Teams calendar for scheduled meetings.

ICLOUD

This time slot is blocked by an appointment in your iCloud Calendar.

Check your Apple/iCloud Calendar.

CALDAV

This time slot is blocked by an appointment from a CalDAV calendar connection.

Check the connected CalDAV calendar.

SMARTWE

This time slot is blocked by an appointment from SmartWe calendar.

Check the SmartWe calendar integration.

ICS

This time slot is blocked by an appointment from an imported ICS calendar file.

Check the ICS calendar feed or uploaded calendar file.

EXCEPTION

This time slot is unavailable due to an exception in your availability schedule.

Go to Settings → Availability → Date Overrides and check if there's an exception blocking this time. You can remove or modify the exception if needed.

OUTSIDE HOURS

This time slot falls outside your configured working hours for this day of the week.

Go to Settings → Availability → Weekly Hours. Make sure the correct timezone is set and adjust your working hours if needed.

BUFFER BEFORE / AFTER

A buffer time is blocking this time slot.

Edit or remove the buffer from the Meeting Type settings. Buffer time gives you preparation or wrap-up time between meetings. To allow bookings here, reduce the "Buffer Before" or "Buffer After" setting in the Meeting Type configuration.

BOOKING LIMIT

This time slot is too soon—the minimum notice period isn't met.

Check the "Minimum booking notice" setting under Meeting Type → Advanced Settings. You may have set a requirement like "bookings must be made at least 24 hours in advance."

DAY LIMIT

You've reached your maximum daily booking limit.

Check your meeting limits under User Settings → Host Meeting Limits. You've configured a daily maximum (e.g., "max 5 meetings per day"). Bookings can be made for other days.

WEEK LIMIT

You've reached your maximum weekly booking limit.

Check your meeting limits under User Settings → Host Meeting Limits. Wait until next week to book more appointments.

MONTH LIMIT

You've reached your maximum monthly booking limit.

Check your meeting limits under User Settings → Host Meeting Limits. Wait until next month or increase the limit.

YEAR LIMIT

You've reached your maximum yearly booking limit.

Check your meeting limits under User Settings → Host Meeting Limits. This is a rare scenario—you may need to adjust your annual capacity.

A single time slot can be blocked by multiple reasons simultaneously (e.g., "GOOGLE" + "BUFFER").

If no dates appear at all in your tool, navigate to your Meeting Type's Availability settings to verify your basic scheduling parameters are configured correctly.

Resolving persistent availability issues

Sometimes availability problems persist even after addressing the obvious conflicts. The most common hidden culprits are all-day calendar events marked as "Busy" and secondary calendars that aren't immediately visible.

Check every connected calendar for all-day events, as these often create day-long booking blocks that aren't immediately apparent. Additionally, review your calendar connection settings to ensure meetergo is checking all relevant calendars for conflicts.

For recurring availability issues, verify that your Meeting Type's core settings align with your actual availability patterns, including time zones, working hours, and advance booking windows.

Common issues and solutions

"I don't see any available times, but my calendar is empty"

Possible causes:

  • OUTSIDE HOURS – Check your working hours configuration
  • BOOKING LIMIT – Check your minimum booking notice setting
  • DAY LIMIT or other limit codes – Check your host meeting limits

"Time slots are blocked but I don't have anything scheduled"

Possible causes:

  • BUFFER BEFORE / AFTER – Buffer times are blocking adjacent time slots
  • EXCEPTION – You have manual date overrides configured
  • Calendar events may be syncing from a connected calendar (look for GOOGLE, OUTLOOK, etc.)

"Customers can't book during specific times"

Use troubleshoot mode to:

  • Identify if it's a configuration issue (OUTSIDE HOURS, EXCEPTION, limits)
  • Or a calendar conflict (various event types)
  • Make targeted adjustments based on the specific unavailability type shown

FAQ

Why doesn't changing a calendar event to "Free" make the time available?

meetergo maintains booking blocks for meetings it originally created, regardless of their current calendar status. You need to cancel or reschedule the meeting within meetergo itself, or enable overlap permissions in your Meeting Type settings.

What should I do if no conflicting events appear in my calendar?

Hidden all-day events marked as "Busy" are often the culprit. Check every day for all-day entries, and verify that meetergo has access to all your relevant calendars through the calendar connection settings.

How does daylight saving time affect my availability?

meetergo automatically adjusts for daylight saving changes to keep your actual available times accurate. Time zone labels in the interface may temporarily show outdated information immediately after the transition, but booking functionality remains correct.

Can I override diagnostic codes to force availability?

Some diagnostic codes can be overridden through Meeting Type settings (like enabling overlaps or adjusting limits), while others require resolving the underlying conflict (like calendar events or host unavailability).

Why do I see different codes for the same time slot on different days?

Multiple factors can affect the same time slot, and the diagnostic tool shows the primary blocking reason for each specific day. A Monday slot might be blocked by a meeting limit while the same time on Tuesday is blocked by a calendar conflict.
