ClickUp integration: a task for every booking
Connect ClickUp with an API token, pick a list, and every booking becomes a task with the booking answers in your custom fields.
Connect ClickUp to create a task for every booking of your company. Each invitee gets one task. Rescheduling moves its due date and cancelling closes it. CRM integrations require Light or higher, and an admin connects them.
Get your API token
- In ClickUp, click your avatar and open Settings.
- Open Apps. Under API Token, select Generate (or Copy if you already have one). The token starts with
pk_.
The token acts as the ClickUp user who created it. Tasks and comments from meetergo show that user as their creator, and meetergo sees only the workspaces, spaces and lists this user can see.
Connect ClickUp
- Open Integrations, find ClickUp, and select Connect.
- Paste the token and select Connect.
- Pick the workspace, space, folder and list your tasks should go to. Where there is only one option, meetergo picks it for you.
- Check the Fields and select Save.
What meetergo creates
- Name: the meeting type and the invitee's name, for example
Demo: Ada Lovelace. - Description: date and time in the host's timezone, location or video link, the invitee's email and phone, every booking answer, and a link to the booking in meetergo.
- Due date: the start of the meeting.
- Assignee: the ClickUp member whose email matches the host's email, if there is one.
- Tag:
meetergo.
Field matching
meetergo fills your list's custom fields with booking values. It matches by type and name: a field named Email or E-Mail gets the invitee's email, Phone or Telefon the phone number, Company or Firma the company, and a field named like a booking question gets its answer. An email or phone field also gets the invitee's email or phone when that is the only value that fits.
You see every matched field in the ClickUp settings and can change it or select Don't fill. If two values fit a field equally well, meetergo asks you which one to use before you can save.
meetergo fills these field types: text, short text, email, phone, number, website, date, dropdown and checkbox. A dropdown gets the option whose name matches the answer. Values ClickUp would not accept, for example a phone number without country code, are left out.
Name your ClickUp fields like your booking questions, and new questions are matched without any setup.
Per meeting type
Open a meeting type, go to CRM, and select Manage next to ClickUp. There you can turn task creation off for this meeting type or send its tasks to another list. Another list gets its own field matching right there.
Reschedules and cancellations
A reschedule updates the task's due date and description. A cancellation adds the comment "Appointment cancelled" ("Termin storniert" for hosts whose language is German) and moves the task to the list's closed status. A list without a closed status keeps its status and only gets the comment.
If a sync fails
Bookings always succeed, even when ClickUp is unavailable. Rate limits and short outages are retried automatically. If ClickUp no longer accepts the token, for example after it was regenerated, the ClickUp card shows Reconnect needed. Select Reconnect and paste a new token.
Disconnect
Open the ClickUp settings and select Disconnect. New bookings no longer create tasks. Tasks already in ClickUp stay there. To revoke the token itself, regenerate it in ClickUp under Settings > Apps.
