Automatically create Google Meet video links for your bookings

meetergo integrates with Google Meet to automatically generate video meeting links for your bookings. When someone books a meeting, a unique Google Meet link is created and shared with all participants.

How It Works

Google Meet integration works through your Google Calendar connection:

  1. Connect your Google Calendar to meetergo
  2. Set Google Meet as the meeting channel on your meeting type
  3. When someone books, meetergo creates a Google Calendar event
  4. Google automatically generates a Meet link for the event
  5. The link is included in booking confirmations

Requirements

To use Google Meet:

  • Google Workspace account (or personal Google account)
  • Google Calendar connected to meetergo
  • Meeting type configured with Google Meet channel

Connect Google Calendar

If you haven't connected Google Calendar yet:

  1. Go to SettingsIntegrations
  2. Find Google Calendar and click Connect
  3. Sign in to your Google account
  4. Grant meetergo permission to manage your calendar
  5. Select your primary calendar

Configure Google Meet on Meeting Type

  1. Go to Meeting Types
  2. Edit your meeting type
  3. Find Meeting Location or Channel settings
  4. Select Google Meet from the options
  5. Save changes

What Happens at Booking

When an attendee books:

  1. Calendar Event Created: An event is added to your Google Calendar
  2. Meet Link Generated: Google creates a unique Meet link for this event
  3. Link Shared: The Meet link is included in:
    • Booking confirmation email
    • Calendar invites to all attendees
    • Booking confirmation page
  4. Ready to Join: Both parties can join via the Meet link at meeting time

Meeting Experience

For Attendees

  • Receive booking confirmation with Meet link
  • Click link to join at scheduled time
  • No Google account required to join (guests can join via browser)

For You (Host)

  • Event appears in your Google Calendar
  • Join directly from calendar or confirmation email
  • Meet link stays consistent if meeting is rescheduled

Rescheduling and Cancellation

When Rescheduled

  • Calendar event updates with new time
  • Same Google Meet link is preserved
  • Attendees receive updated invitations

When Cancelled

  • Calendar event is cancelled
  • Meet link is no longer valid
  • Attendees receive cancellation notification

Calendar Settings

Notification Preferences

Control whether Google sends calendar notifications:

  1. In Google Calendar connection settings
  2. Find Disable attendee notifications
  3. Enable to prevent Google from sending its own emails
  4. meetergo still sends its confirmation emails

Primary Calendar Selection

Google Meet links are created on your primary calendar:

  1. Go to SettingsIntegrationsGoogle Calendar
  2. Review your Primary Calendar setting
  3. Events and Meet links are created on this calendar

Troubleshooting

If Meet links aren't being created:

  1. Verify Google Calendar is connected
  2. Check that Google Meet is selected as the channel
  3. Ensure your Google account has Meet enabled
  4. Try disconnecting and reconnecting Google Calendar

If attendees don't see the link:

  1. Check your email template includes the meeting link variable
  2. Verify the booking was created successfully
  3. Check the calendar event has a Meet link attached

"Cannot Join Meeting" Errors

If participants can't join:

  1. Meeting may not have started yet (Meet opens 5 min before)
  2. Check the booking hasn't been cancelled
  3. Verify the link wasn't corrupted in email

Calendar Event Missing

If the event doesn't appear:

  1. Check your Google Calendar connection status
  2. Verify the correct calendar is selected
  3. Look for the event in your primary calendar
  4. Check if calendar sync is working

Use Consistent Channels

For each meeting type, choose one video channel:

  • Sales calls → Google Meet
  • Support → Phone or Google Meet
  • Team meetings → Google Meet

This keeps your workflow consistent and attendees know what to expect.

Test Before Going Live

  1. Create a test meeting type with Google Meet
  2. Book a test appointment
  3. Verify the Meet link is generated
  4. Join the meeting to confirm it works
