Create a Phone Meeting Type

Set up meeting types for phone calls instead of video conferences

Not every meeting needs video. Phone calls are perfect for quick check-ins, consultations, or when attendees prefer audio-only communication. meetergo supports two types of phone meetings.

Phone Meeting Options

Create an Outgoing Call Meeting Type

With outgoing calls, you call the attendee at the scheduled time.

Setup Steps

  1. Go to Meeting Types
  2. Click Create Meeting Type (or edit existing)
  3. In Location/Channel settings, select Phone (Outgoing)
  4. Save your meeting type

How It Works

  1. Attendee books and provides their phone number
  2. At meeting time, you see their number in your calendar event
  3. You call them at the scheduled time

  • Sales calls where you want to initiate
  • Client consultations
  • Follow-up calls

Create an Incoming Call Meeting Type

With incoming calls, the attendee calls you at the scheduled time.

Setup Steps

  1. Go to Meeting Types
  2. Click Create Meeting Type (or edit existing)
  3. In Location/Channel settings, select Phone (Incoming)
  4. Enter your phone number that attendees should call
  5. Save your meeting type

How It Works

  1. Attendee books the meeting
  2. Confirmation email includes your phone number
  3. At meeting time, attendee calls you

Best For

  • Support calls
  • Situations where you want to control the phone number shared
  • International attendees (they control their calling costs)

Requiring Phone Numbers

For outgoing calls, you need the attendee's phone number.

Make Phone Number Required

  1. Edit your meeting type
  2. Go to Booking Form settings
  3. Find the phone number field
  4. Mark it as Required
  5. Save changes

This ensures every booking includes a valid phone number.

Phone Number in Calendar Events

When a phone meeting is booked, the calendar event includes:

For outgoing calls:

  • Attendee's phone number in the event description
  • Reminder to call the attendee

For incoming calls:

  • Your phone number in the confirmation to attendee
  • Note that attendee will call you

Combining with Other Options

You can offer phone as one of multiple location options:

  1. Edit your meeting type
  2. Enable multiple location options
  3. Select Phone along with other options (Zoom, Teams, etc.)
  4. Save changes

Attendees choose their preferred method when booking.

International Calls

Considerations

  • Phone numbers should include country codes
  • Consider who pays for international calls
  • Specify if you only accept calls from certain countries

Collecting Country Codes

Add a note to your booking form requesting full international format:

Best Practices

Clear Instructions

In your meeting type description, explain:

  • Who will initiate the call
  • What number to expect (for incoming calls to attendees)
  • What to do if the call doesn't connect

Backup Plan

Consider adding a note about what to do if phone connection fails:

  • Alternative number to try
  • Email to contact
  • Fallback to video call

Time Zone Clarity

Phone calls don't have the "join link" visual cue. Make sure:

  • Time zone is clearly displayed
  • Confirmation includes local time
  • Reminders go out before the call

Can I switch between phone and video for the same meeting type?

Yes, enable multiple location options and let attendees choose when booking.

What if the attendee doesn't answer?

Follow your standard no-show policy. Consider sending an SMS reminder before calls.

Can I use a virtual phone number?

Yes, any phone number works—landline, mobile, or VoIP numbers.

Does meetergo make the call automatically?

No, you manually place the call at the scheduled time. meetergo doesn't have calling functionality built in.
