Using the Kanban Board

Visualize and manage your sales pipeline with drag-and-drop functionality

The Kanban board provides a visual overview of your entire sales pipeline. See all your deals organized by stage, drag and drop to move deals forward, and quickly identify bottlenecks in your sales process.

Accessing the Kanban Board

  1. Navigate to CRMDeals
  2. Click the Board toggle (next to Table)
  3. The Kanban view displays your deals as cards in stage columns

Understanding the Board Layout

Columns

Each column represents a stage in your pipeline:

  • Header: Stage name, deal count, and total value
  • Body: Deal cards in this stage
  • Footer: Stage summary (when expanded)

Columns are arranged left-to-right following your pipeline stage order.

Deal Cards

Each deal appears as a card showing:

  • Deal name
  • Company name (if linked)
  • Deal value with currency
  • Expected close date
  • Owner avatar
  • Status indicator (overdue highlighted in red)

Click any card to open the deal detail page.

Moving Deals

Drag and Drop

The primary way to move deals between stages:

  1. Click and hold a deal card
  2. Drag it to a different column
  3. Release to drop it in the new stage

The deal updates immediately, and the activity log records the stage change.

Movement Validation

When dropping a deal:

  • Success: Deal moves instantly
  • Required Fields: If the target stage requires custom fields, a dialog prompts you to fill them before the move completes

Moving to Won or Lost

To mark a deal as won or lost from the Kanban:

  1. Drag the deal card to the Won or Lost column (if visible)
  2. Or click the deal to open it and use the Mark as Won/Mark as Lost buttons

Filtering the Board

By Pipeline

Use the pipeline dropdown to show deals from a specific pipeline. Each pipeline has its own set of stages.

By Owner

Filter to see only deals assigned to a specific team member or "My Sales" for your own deals.

Type in the search bar to filter deals by:

  • Deal name
  • Company name
  • Contact name

Matching deals remain visible; non-matching deals are hidden.

Board Display Options

Collapsing Columns

For crowded boards, collapse stages you don't need to see:

  1. Click the collapse icon on a stage header
  2. The column minimizes to show only the header
  3. Click again to expand

Scrolling

  • Horizontal: Scroll left/right to see all stages
  • Vertical: Scroll within a column to see more deals

Viewing Stage Metrics

Each column header shows:

Working with the Board

Daily Pipeline Review

  1. Open the Kanban board
  2. Scan from left to right
  3. Identify deals requiring action:
    • Overdue close dates (red dates)
    • Stale deals (too long in stage)
    • Ready to advance (completed stage requirements)
  4. Drag deals forward or mark as won/lost

Pipeline Meetings

Use the Kanban board during team pipeline reviews:

  1. Filter by owner for individual reviews
  2. Walk through stages left to right
  3. Discuss deals stuck at each stage
  4. Move deals as decisions are made

Identifying Bottlenecks

Look for stages with many deals that aren't progressing:

  • Many deals in early stages: Lead generation is strong, but qualification may be slow
  • Many deals in proposal stage: Sales team may be waiting on customer decisions
  • Few deals late-stage: Pipeline may need more qualified opportunities

Keyboard Navigation

While the board is focused:

  • Arrow keys: Navigate between deals
  • Enter: Open selected deal
  • Escape: Deselect

Mobile Considerations

On smaller screens:

  • Columns stack vertically or scroll horizontally
  • Touch and drag works for moving deals
  • Consider using Table view for complex operations on mobile

Tips for Effective Use

Keep Stages Clean

  • Move deals promptly as they progress
  • Mark lost deals instead of leaving them stale
  • Archive or close deals that aren't active

Use Consistent Naming

Deal names that include company and context are easier to scan:

  • Good: "Acme Corp - Enterprise License"
  • Less clear: "Big Deal"

Review Regularly

  • Daily: Quick scan for urgent items
  • Weekly: Full pipeline review
  • Monthly: Analyze stage conversion rates

Color Coding

If your pipeline uses stage colors:

  • Lighter colors for early stages
  • Darker colors for later stages
  • Consistent colors help quick recognition

Troubleshooting

Deals won't drag

Check if you're trying to move to a stage with required fields. The deal will prompt you to complete those fields first.

Column is empty but should have deals

Check your filters. You may be filtering by owner or pipeline that excludes some deals.

Can't see all stages

Scroll horizontally. Or some stages may be collapsed — click to expand them.

Cards look different sizes

Deal cards expand to show available information. Cards with more details (company, contacts) may appear larger.

FAQ

Can I reorder columns?

Columns reflect pipeline stage order. To reorder columns, edit the pipeline stage order in Pipeline Settings.

Is there a limit to deals per column?

No technical limit, but many deals in one column can make browsing difficult. Use search and filters to manage busy pipelines.

Can I see deals from multiple pipelines?

The Kanban shows one pipeline at a time. Switch pipelines using the dropdown selector.

How do I see closed deals?

Won and Lost deals move to their respective terminal stages. Filter by status to see all won or lost deals in the Table view.

Can I print the Kanban board?

Use your browser's print function. Consider switching to Table view for better print formatting.
