Create, track, and complete tasks with quick shortcuts and smart scheduling

Tasks in meetergo CRM help you stay on top of follow-ups, calls, and action items. Create tasks linked to deals, set due dates and priorities, and use quick shortcuts for fast task entry.

Accessing Tasks

Global Tasks View

  1. Navigate to CRMTasks
  2. See all pending and completed tasks
  3. Filter by type, priority, or assignee

Deal Tasks

  1. Open any deal
  2. Go to the Tasks tab
  3. View and manage tasks for that specific deal

The Tasks View

The main Tasks view shows:

  • Quick task input: Create tasks with natural language
  • Task list: All tasks with status, due date, and details
  • Filters: Narrow by type, priority, status, or assignee
  • Counts: See overdue and due-today counts

Creating Tasks

  1. Click Add Task
  2. Fill in task details:

Use the quick input bar for fast task entry. Type naturally and use shortcuts:

  • Title: "Call Sarah about renewal"

Managing Tasks

Viewing Tasks

The task list shows:

  • Checkbox for completion
  • Task title
  • Type icon
  • Due date (colored by urgency)
  • Priority indicator
  • Assignee avatar
  • Associated deal (if any)

Completing Tasks

To mark a task complete:

  1. Click the checkbox next to the task
  2. Or open the task and click Complete

Completed tasks move to the completed section or are hidden based on your filter.

Editing Tasks

  1. Click a task to open it
  2. Modify any fields
  3. Save changes

Deleting Tasks

  1. Open the task
  2. Click Delete
  3. Confirm deletion

Filtering Tasks

By Status

  • All: Every task
  • Pending: Incomplete tasks only
  • Completed: Finished tasks only

By Type

Filter to see only:

  • Calls
  • Emails
  • Meetings
  • Follow-ups
  • To-dos

By Priority

Show only:

  • High priority
  • Medium priority
  • Low priority

By Assignee

  • My Tasks: Your assignments only
  • All Tasks: Team-wide view
  • Specific person: Select a team member

Tasks and Deals

Creating Tasks from Deals

  1. Open a deal
  2. Go to Tasks tab
  3. Click Add Task
  4. The task is automatically linked to this deal

Viewing Deal Tasks

On the deal detail page:

  • See all tasks for this deal
  • Complete tasks inline
  • Create new tasks

On the global Tasks view:

  • Each task shows its associated deal
  • Click the deal name to open it

Task Metrics on Deals

The deal header shows task counts:

  • Total tasks
  • Pending tasks
  • Overdue tasks

Assigning Tasks

To Yourself

By default, tasks are assigned to you. Just create them normally.

To Team Members

  1. Create or edit a task
  2. Click the Assignee field
  3. Select a team member
  4. Save

The task appears in their task list.

Reassigning

  1. Open the task
  2. Change the Assignee
  3. Save

Task Notifications

Tasks integrate with your workflow:

  • Overdue tasks are highlighted
  • Due-today tasks are flagged
  • Dashboard shows task counts

Best Practices

Write Clear Titles

Be specific about what needs to be done:

  • Good: "Call John Smith to discuss Q2 renewal terms"
  • Less clear: "Call John"

Set Realistic Due Dates

  • Don't set everything as urgent
  • Account for your actual capacity
  • Review and adjust as needed

Use Types Consistently

Types help with filtering and reporting:

  • Use "Call" for all phone tasks
  • Use "Email" for all email tasks
  • Be consistent across your team

Review Daily

Start each day by:

  1. Checking overdue tasks
  2. Reviewing due-today tasks
  3. Planning priorities

Always link tasks to deals when relevant:

  • Provides context
  • Appears in deal history
  • Shows in deal task count

FAQ

Can I set recurring tasks?

Currently, tasks are one-time. Create a new task when the previous one is complete.

Can I see tasks in my calendar?

Tasks are CRM-specific and don't automatically appear in your calendar. For calendar items, schedule meetings instead.

What happens to tasks when a deal is closed?

Tasks remain associated with the deal. You can still complete them after the deal is won or lost.

Can I attach files to tasks?

Attachments are on deals and contacts, not individual tasks. Add files to the related deal instead.

Are tasks synced anywhere?

Tasks exist in meetergo CRM. They don't automatically sync to external task managers.

Can I bulk complete tasks?

Select multiple tasks (if available) and mark them complete together.
